Dear Substitute Teacher:

Welcome to another exciting year in the Smithville School District. You are a
vital part of our district and we value the contributions you make. It is
your involvement and availability that enables our programs to continue.

This handbook has been prepared for you to provide the guidance necessary for
program continuity and coordination with the regular teacher/ instructional
assistant assignments.

Mission Statement
Building on a tradition of excellence, the mission of the Smithville R-II School
District, located in a growing lakeside community, is to educate all students in
a premier learning environment and to develop students to serve as proactive,
compassionate leaders in an interconnected world by providing rigorous and

Applying for Substitute Teaching

I. Substitutes will be required to complete an application with the
Smithville School District. Applications are to be completed through
TalentEd Recruit & Hire on the district’s website
(www.smithvilleschooldistrict.net). TalentEd Recruit & Hire can be
accessed by clicking on the “Careers” channel on the district homepage.

II. In addition to your application to substitute teach in Smithville School
District, DESE requires an application, background clearance, finger
printing, and college transcripts. Please review DESE Substitute
Teaching Checklist by clicking the following link:

a. Certification: An application fee applies. The minimum requirement
for substitute certification is sixty (60) hours from an accredited college
or university. Substitute Teacher Certificates are issued as followed:
i. 60 plus college hours required by the State of Missouri, a
background check will be completed yearly and a certificate for
the full school year will be issued.
ii. An individual who has retired under the Public School &
Education Employee Retirement Systems of Missouri
(PSRS/PEERS) is limited to 550 clock hours of teaching during
the school year. PSRS retirees are also limited to the amount of
salary that can be earned during a school year. Visit www.psrs-
peers.org for information.
iii. An individual previously employed by the district must separate
from service with the district for at least 26 consecutive weeks to
be eligible to serve as a substitute.
b. Background Clearance and Finger Printing: DESE contracts with
3M/Cogent for fingerprinting. Your first step is to register with
MACHS at www.machs.mo.gov or call them at 1.877.862.2425. The
fingerprinting fee will be $43.05. Further instructions can be found at
the end of this section. You will need the following information to
complete the website’s forms:
i. Smithville Substitutes Code – 0469
ii. Name - Smithville R-II School District
iii. School Address - 655 S Commercial, Smithville, MO 64089
c. College Transcripts: Original transcripts from ALL institutions you
have attended must be mailed to: Educator Certification, PO Box 480,
Jefferson City, MO 65102-0480. Please be sure to include your Social
Security number or Educator ID number on all of the transcripts.

III. Once cleared by DESE and you have been awarded your substitute
teaching certificate, our district will require the following additional
forms:

a. State and federal tax withholding form
b. Technology Usage Agreement form
c. I-9 form
d. Copy of Driver’s License and Social Security Card; or Passport
e. Direct deposit form
f. Child Abuse & Neglect Registry Check form

IV. Substitute teaching candidates will participate in a Substitute Teaching
Orientation at the District Office.

V. AESOP Automated Educational Substitute Operator
AESOP is an automated system used to find substitutes for teachers and
other staff during short term, temporary absences. AESOP allows staff to
register their own absences using a web site or an Interactive Voice Response
phone system. AESOP then finds substitute teachers to fill each vacancy and
allows substitutes to view and accept jobs online. Unfilled jobs trigger
automatic phone calls to qualified substitutes. The administrative
management functions of AESOP provide administrators with full
information about absences and substitute assignments.

AESOP training is provided to each substitute on the day of substitute
orientation. You will be provided with an ID# and a Pin# within several days
of your completion of the substitute training class. You will then have access
to the AESOP system. If you have questions or comments regarding the use
of the AESOP system, please contact the Department of Human Resources.

You are encouraged to view the Aesop document and video guides for
substitutes. The links for these videos are located on the login page
of your user guide.

Please note: Jobulator® is a subscription service that provides automatic, continuous
checking and notification of your job offers in Aesop. To learn more about Jobulator®, visit
http://www.jobulator.com/.

VI. VeriTime
VeriTime is a time and attendance management system that shares selected
data with Aesop. A soft rollout of the system began in mid-August 2015 to
assist in accurately capturing employee’s actual time worked, transferring
employee time to payroll, improving efficiencies by moving away from paper to
an electronic system and easily producing reports to improve compliance with
state and federal laws/regulations.

All substitutse in the district will clock in when arriving for work, clock out
when taking a lunch break, clock back in after lunch and then clock out when
leaving for the day. Kiosks are set up in all buildings for the purpose of clocking
in/out. All kiosks are set up with the Veritime clock in screen as its home
screen. You will only need to input your Aesop Login ID (which is usually your
phone number) and then type in your Aesop PIN. Click on the blue “Log In”
button at the bottom of the screen and wait for the word “success”. It is the
same process for clocking out.

VII. Active Substitute List
Only those persons on the active substitute list are eligible to substitute
teach. The active substitute list is maintained by the Department of Human
Resources. A candidate is not eligible for placement on the list until he or she
has attended the required training, has been fingerprinted and has completed
all employment forms.

THE SMITHVILLE R-II SCHOOL DISTRICT RESERVES THE
RIGHT TO DENY EMPLOYMENT TO ANY APPLICANT.
COMPLETION OF SUBSTITUTE ORIENTATION CLASS DOES
NOT GUARANTEE EMPLOYMENT AS A SUBSTITUTE.

Substitute teachers are responsible for notifying Lori Torkelson of any change
in name, phone number, address, teaching preference or request to be removed
from active list. Brenda may be contacted by phone or email.

VII. Annual Renewal of Service
Automatic renewal will be made only if you substitute at least one day during
each school year. If you do not substitute during a school year, the school
district will need to verify that your finger print clearance is less than 12-
months old, and substitute certification are still valid. If your finger print
clearance is more than 12-months old, you will be required to have another
finger print done.
